Step 1: Create Your Event

This guide walks you through creating a new event and configuring its essential settings. You’ll learn how to set up the event, add basic details, configure payments, and manage automated emails — ensuring everything is ready before registrations open.

1.1 Create New Event

This step allows you to create the foundation of your event inside the app. Once created, you’ll be able to configure all additional settings.

To create new event:

  • Go to the Events tab in the main navigation.
  • Click the New Event button.
  • Provide basic information:
    • Event Name – 📩 ❗️ – This is the title of your event. Choose a name that clearly tells participants what the event is about.
    • Location (City) – 📩 ❗️ – Enter the city where the event will take place.
    • Start Date – 📩 ❗️ – Select the day your event begins. This could be the first workshop session, the opening class, or the pre-party.
    • End Date – 📩 ❗️ – Choose the day your event finishes. For single-day events, this will be the same as the start date.
    • Reply-To Email – ❗️ – This is the email address participants can respond to when they receive automatic messages from your event. Make sure it’s one you check regularly, as people may send questions or important updates.
    • Facebook URL – 📩 – This can be a link to your event’s Facebook page.
    • Instagram URL – 📩 – This can be a link to your event’s Instagram profile.
  • Click the Create Event button to submit the form.
  • Find the newly created event in the events list and click its name to open the event dashboard.

1.2 Manage Payment Settings

From the Event Dashboard, navigate to the Event Settings tab to configure your payment options.

Essential payment details:

  • Local Currency – 📩 ❗️ – Choose the currency most participants will pay in. This will be used as the main currency for your event’s prices.
  • Foreign Currency – 📩 – Select an additional currency for participants joining from abroad. Prices will be shown in both currencies for convenience.
  • Payment Time – 📩 ❗️ – Enter the number of days a participant has to make their first payment after being accepted to secure a spot.
  • Payment Until – 📩 – Define the final date by which all payments must be completed. This is especially useful if you allow partial or split payments.

1.3 Manage Email Automation

From the Event Dashboard, navigate to the Email Automation tab to configure automatic emails.

The event workflow includes seven automatic emails, each sent at a specific moment in the participant’s journey. These messages ensure that participants stay informed and always know what to expect next:

  • After New Order – Sent when a participant submits a new registration. It confirms that their order has been received.
  • After Waiting List – Sent when a participant is placed on the waiting list. It explains what this means and what might happen next.
  • After Accepted – Sent when a participant is accepted into the event. It typically includes payment instructions and next steps.
  • After Canceled – Sent when a participant’s registration is canceled. It provides clarity and closes the loop.
  • After Partially Paid – Sent when a participant makes a partial payment. It confirms the amount received and reminds them of any remaining balance.
  • After Paid – Sent when the participant completes their full payment. It confirms their successful registration and payment status.
  • After Completed – Sent when a participant is checked in at the registration desk at the venue. Confirms their attendance and marks them as fully checked in.

Customize the subject and body of your emails freely, and enhance them with dynamic merge fields for personalized content. A full list of available fields and their meanings is provided below.
